The Nathan Kline Institute, located in Orangeburg, NY (20 miles north of New York City), is one of the nation's leading centers of excellence in mental health research. Affiliated with NYU Langone Medical Center, its distinguished scientists conduct a broad range of studies in basic, clinical and translational research in areas of Alzheimer's disease, psychopharmacological treatments for schizophrenia, and the application of computer technology to mental health services.

Job Description

The Center for Dementia Research (CDR), world-renown in Alzheimer's Disease research, is currently seeking highly qualified candidates for the position of Senior Administrative Assistant to work closely with the Center Director on a broad range of activities. Candidates must enjoy working in an academic and results-driven research environment. The ideal candidate will possess strong administrative and organizational skills, sound judgment, have strong written and verbal communication skills, and be capable of managing and prioritizing a wide variety of activities.

 

Job Duties

Work closely with Director on program initiatives and concerns. Complete a variety of administrative activities, including managing busy calendar of appointments, grant preparation, budgets and expense reports, arranging detailed travel plans, itineraries, and agendas, composing letters and correspondence, editing and proofreading documents (CVs, biosketches, and other documents for grant submission).

Grant Preparation: Prepare budgets and all non-scientific documents for federal, foundation, and corporate grant submissions and competing renewals.

Grants Management: Manage fiscal matters for the Director's grants and funds. Prepare budget projections, personnel changes. Monitor and reconcile monthly summary reports. Assist in preparation of protocol submissions.

Scheduling: Plan and coordinate Director's schedule. Field e-mail and phone calls, meeting requests, interdepartmental communications. Manage time and access to the Director's office. Inform Director of upcoming commitments and deadlines.

Communications: Serve as liaison and first point of contact between the Director's office and internal departments and broad external community.

Travel: Register and arrange detailed travel for Director, including air, rail, and ground transportation, hotel accommodations . Prepare travel agendas and itineraries.

Recruitment: assist in recruitment, oversee visa applications for foreign hires, screen and schedule interviews for office support staff.

Record Keeping: maintain electronic and filing systems .

Job Qualifications

Strong organizational and interpersonal skills with ability to prioritize and multi-task.

Excellent written and verbal communication skills

Demonstrated problem-solving, judgment, and decision-making skills

Ability to meet deadlines and work under pressure in a fast-paced environment.

Team player with ability to work independently.

Education and Experience Requirements:

BA, BS or equivalent degree.

5-10 years of experience supporting directors/executives preferably in an academic or non-profit setting.

Proficiency in Microsoft Office. Adobe Acrobat, Peoplesoft helpful.
